NAA MediaXchange 2012
Fast Facts - the eXchange

Request a booth now!

Dates: April 2-5, 2012 (Exhibition, April 2-4)
Venue: Marriott Wardman Park, Washington DC.  

1. The eXchange:
"Products, Services, Partnerships and Solutions" will be held in the exhibit hall, lower level.  Please visit the floorplan page to review locations for The Exchange, Registration, General Sessions and Breakouts.  

Companies interested in sponsorship opportunities or space other than inline packages are invited to discuss your plans with Kevin McCourt, email Kevin.McCourt@naa.org or 571-366-1055.

Priority booth selection for returning companies will begin late September.  A notice with a specific date and time will be sent to the primary contacts in advance..

Prospective Exhibitors who did not participate at mediaXchange 2011 may then select space.  First priority for available space will be given to companies requesting to be on the selection list in the order their request is received by NAA.  Email Kevin.McCourt@naa.org or call 571-366-1055.

After selection, space will be held for three business days pending return of executed contract and first (50%) payment.  You can review the Terms & Rules and Regulations now, these will be incorporated in the contract that will be emailed to you after a specific booth is selected.

 After three days, space "on hold" may be challenged.  If you are interested in space that has been "on hold" for more than three days, please contact Kevin.McCourt@naa.org, 571-366-1055, the holding company will be given a reasonable time to confirm with contract and deposit or the space will be reassigned.  Priority for waitlist space is based on earliest date of deposit to NAA.

2. Exhibit Related Events:
Three receptions, two breakfasts, one dessert will be held in The eXchange. See the Schedule at a Glance for an overview.

4. 2012 Packages
Exhibit Rates - All exhibiting packages include NAA Associate Member Privileges through 12-31-12. The exhibit hall is carpeted, and wireless internet will be provided (email, basic web browsing).  Each exhibitor confirmed by 12-31-11 will receive a lead retrieval device for use during the event.

Due to the nature of the luncheons (presidential candidates expected as the luncheon speakers), each will be a ticketed event.  Tickets, at $75 each, can by purchased as you register your representatives, or onsite based on availability.

A. Island Exhibition Space 20x20 - $18,000.  Hotel carpet, wireless internet  No furnishings.Includes five exhibitor registrations, up to five additional can be purchased for $125 each.

B. 10x10 Furnished Inline Exhibit Spaces - furniture, 5amp/500w electricity (four receptacles), two included conference registrations, option to purchase two additional at $125 each. Note that two inline booths can be combined to form a 10x20 space, and will include two furnishing packages.  Booths 303-903 are adjacent to columns, the price includes a 2'' by 7'' column decal.

Furnishing Options for Inline Exhibit Space: Choose from two furnishing packages.

Digital Demo - $5100. The most popular packages for 2011 mediaxchange exhibitors included monitors, for 2012 we have upgraded to a 42" LCD Monitor.

Cool Conference - $4700. Practical for the exhibitor who wants a "meeting of the minds" atmosphere,

C. Demonstration Kiosk- $4200. Ideal for exhibitors with a simple demonstration to make, and for those executing the conference "singlehanded" who need an affordable, usable place to meet prospects one or two at a time, to make informal presentations.  Includes pole mounted 42" LCD Monitor, kiosk for your laptop or keyboard, one Exhibitor Registration. One additional exhibitor registration can be purchased for $125.  Standing signs, with a base no more than 12" deep, may be used.

D. Hard Wall Conference Room - $6000. Conduct your private meetings in this hardwall conference room, seats six.  furniture, 5amp/500w electricity (four receptacles), two included conference registrations, option to purchase two additional at $125 each. Pole mounted 42" flat panel monitor can be used inside for demonstrations, or outside for branding.  

All 10x10 and kiosk packages will be set, furniture and monitors, for your arrival. There will be no charges to the exhibitor for material handling, setup or teardown labor for the items included in the package, and the providers, Freeman Company for furniture and monitors, and Marriott for Electric and Internet will be onsite to provide support as required.  

NOTE: other materials shipped through Freeman to the exhibit hall or accepted at the hotel business center will incur handling charges, see the Exhibitor Services Center for details on charges and policies.

E. General information
There will be no sharing companies.  Companies wishing to secure adjacent space please contact Kevin McCourt, 571-366-1055.

Exhibitor registrations will be provided to full time employees of the company, with recent paystub or medical insurance card as acceptable id when picking up badges onsite.  If there are other circumstances, for example consultant or contract sales representatives, please discuss with Kevin McCourt, Kevin.McCourt@naa.org no later than February 28, 2011.  Representatives of other companies who sell products or services to the newspaper industry must either register with that company, or at the prevailing attendee rate.

Exhibitor Registration will provide access to exhibit hall, sessions, and all conference sessions (not affiliated meetings), and social events EXCEPT the ticketed luncheons, limited tickets available to purchase.
